QuestionsDecember 18, 2003I have gotten a couple of questions concerning the Grantees' meeting and conference. The ADVANCE Institutional Transformation Grantees' meeting will be held on Monday, April 19, 2003. I seem to recall that most institutions had 2 to 4 representatives at last year’s PI meeting at NSF in Washington, DC. If you are unsure of who should attend the meeting, please contact Alice Hogan at NSF who is running the meeting. We are adding this as an option in the on-line registration page. It should be up and running soon. Mary Lynn 1/6/04 I have a couple of questions about the NSF ADVANCE national conference in April. 1. The web site lists two options for sessions - one including 3 panelists and the other including 4. We would prefer only two panelists at our session so that each has time to discuss things in more depth. Is this okay? 2. Do we have to pay a $200 registration fee for each person from Hunter who attends, or is the registration fee per ADVANCE institution? 3. Is it $190 per night for accommodations at the GA Tech hotel and conference center? If so, are there other accommodations in the area that are less expensive? Annemarie Nicols-Grinenko Answers: 1/6/04 1. We discussed the format with several groups and decided that the 3 or 4 panelist format with the session coordinator summarizing the work that is not presented by panelists. The first round ADVANCE awardees will not be presenting at the Grantees' meeting on Monday. This is one reason that we wanted to have 3 to 4 panelists. So we could hear first hand from those doing the work at the universities. We also felt that with 4 to 5 people (panelists + coordinator) that we could have a good panel that could address most any comment that came up. We discussed having people submit abstracts for the sessions that they wanted to present in, but decided that this would be extra work for the coordinator. If you want to make a request to the schools to submit abstracts so that you could better make up the session, please do. If I can help facilitate this, please let me know how. I will be posting the list of contacts for each session next week when I receive all of the info from the institutions. Also, if you want to limit your initial comments to 5 minutes and give the other 5 minutes to the speakers, you may do so. You may also want to give yourself 5 minutes at the end instead of 10 minutes, but we really want to have the 20 minutes of discussion for the audience to give their input. 2. The fee is $200 per attendee and includes two lunches, the food at the reception, all of the "continuous" break food (including continential breakfast), and some of the cost of the conference facilities and support people (av, etc). 3. The conference attendees are not limited to ADVANCE PIs and staff. It is open to all interested people, but we are targeting the ADVANCE Institutions. You will be getting a pdf flyer to market the conference on your campus towards the end of January. We will market it nationally during the first few weeks of February, but wanted the ADVANCE Institutions to have a month to register before that time. The facilities that we have booked will hold 350 people. This is the limiting factor for the number of attendees. UW is coordinating the session on Family/Work Policies and Practices and we would like to like to hear from some of the experts around the country, many of whom are not at ADVANCE schools. Second, will there be conference attendees from schools other than ADVANCE schools? From the webpage, I thought it stated that the audience will only include people from ADVANCE schools. You are the first to ask about the presenters. The planning committee sees no problem with asking outside speakers, however, we don't have funds to cover their travel. On the second question. Yes, people from other institutions are encouraged to attend. (See answer directly above your question). Mary Lynn 1/29/04 Q. Thus far we have received very little input from other ADVANCE Programs concerning our topic of Women From Underrepresented Groups. We were wondering if it would be ameanable to the organizers of the conference if we invited an expert in the field who is not from an ADVANCE Institution. Please advise. Thank you, Dina Jankowski A. I would be interested in knowing how many Program Coordinators will be attending in April? I was thinking that they could have discussions over lunch. The lunch on Wednesday is in the hotel restaurant and we have a reserved section. We could put the coordinators at two tables together. Another option is to meet for breakfast before the conference officially starts. We are scheduled to start at 10am on Wednesday, which gives plenty of time for an 8-10am meeting of the coordinators or a 8:30-9:30 meeting of the coordinators. We have rooms where they could meet. I would suggest that if the program coordinators are at the Washington meeting next week, you should discuss the preferred format.
